Information we collect
- Your name, phone number and email address.
- Collection and, for removals, destination addresses, including access, parking and floor details.
- The requested date, service type, inventory, photographs or videos you choose to send, and other job instructions.
- Details needed to plan the work, such as heavy items, dismantling, crew requirements and Clean Air Zone information.
- Booking, payment and transaction records if an enquiry becomes a job. The website does not collect card details.
- Messages and records of calls, emails or WhatsApp conversations relating to your enquiry or booking.
- Basic security and request information processed by the website host, such as IP address, browser details and timestamps.
We normally receive this information directly from you. We may also receive it from somebody arranging a job on your behalf.
Why we use it and our lawful bases
- Contract: to prepare a requested quote, arrange a booking, carry out the service, take payment and communicate about the job.
- Legal obligation: to keep accounting, tax, waste-transfer and other records required by law.
- Legitimate interests: to keep proportionate business records, handle complaints, establish or defend legal claims, prevent misuse and keep the website secure. These are ordinary activities people would reasonably expect from a removals and clearance business.
- Consent: where we specifically ask for consent for an optional use. Consent can be withdrawn at any time.
Contact and job information is needed to provide a meaningful quote and perform a booking. If it is not supplied, we may be unable to quote for or carry out the service. We do not use automated decision-making or profiling.
Who receives your information
We only share information where it is needed for the purposes above. Recipients may include:
- Google, because form enquiries are recorded in a private Google Sheet used to manage leads.
- Resend, where configured, to deliver the enquiry email to the business.
- Our website hosting and security providers, including the infrastructure used to operate this site.
- Crew members, subcontractors or another operator who needs the job details to provide an agreed service.
- Accountants, insurers, professional advisers, payment providers, regulators, courts or law-enforcement bodies where reasonably necessary or legally required.
We do not sell personal information. We do not use enquiry details for unrelated marketing without an appropriate legal basis.
International processing
Some technology providers may process information outside the UK. Where UK data-protection law requires safeguards, we rely on the provider’s applicable adequacy arrangements or approved contractual safeguards. You can ask us for more information about the safeguard used for a particular provider.
How long we keep it
- Quote enquiries that do not become bookings are normally kept for up to 12 months after the last contact.
- Booking, payment, accounting and waste-transfer records are normally kept for six years after the end of the relevant financial year.
- Information connected with a complaint, insurance matter or legal claim may be kept for longer where reasonably necessary.
We delete or anonymise information when it is no longer needed for the reason it was collected.
Cookies and analytics
We may use Google Analytics to understand how visitors use the website. When enabled, Google Analytics may use cookies or similar technologies and process information such as pages visited, approximate location, device and browser details, and referral source. You can control cookies through your browser and use the Google Analytics Opt-out Browser Add-on. Google Search Console may also provide aggregated search-performance information. We do not use advertising pixels on the current site.
Your data-protection rights
Depending on the circumstances and lawful basis, you may have the right to:
- Ask for a copy of your personal information.
- Ask us to correct inaccurate or incomplete information.
- Ask us to delete information or restrict how it is used.
- Object to processing based on legitimate interests and object at any time to direct marketing.
- Receive certain information in a portable format.
- Withdraw consent where processing relies on consent.
Your right to object: you can object to processing based on legitimate interests by emailing eddy@eddyvanman.com. We will stop unless we have compelling lawful grounds to continue.
You may also complain to the Information Commissioner’s Office. We would appreciate the chance to resolve the issue first, but contacting us is not a condition of complaining to the ICO.
Keeping information secure
We use reasonable organisational and technical measures to protect personal information and limit access to people who need it. No internet transmission or storage system can be guaranteed completely secure.
Changes to this notice
We may update this notice when our services, suppliers or legal duties change. The latest version and its update date will remain on this page.
